Dear Webfosters Team,

Iwould like a clarification regarding invoice number generation when converting a quotation (or draft/proforma) into a final invoice.

Scenario:

I have set the prefix for drafts/quotations as `”Q-”` in the invoice scheme. I have also set a different prefix for final invoices, which is `”I-”`, under the invoice scheme assigned to the appropriate business location.

When I create a quotation or draft, it correctly assigns an invoice number like `Q-0001`.

However, when I update the status of that document to “Proforma Invoice” or “Final Invoice”, the invoice number remains as `Q-0001` — the prefix does not change to `”I-”` as expected for a finalized invoice.

My expectation:

Upon updating the status to a final invoice or proforma invoice via actions or by editing the status, the system should:

Automatically assign a new invoice number Use the “I-” prefix from the invoice scheme configured for that location

My question:

1. Is this the expected behavior in Ultimate POS? If so, is there a recommended way to regenerate or assign a proper invoice number with the correct prefix (`”I-”`) when a draft/quotation is converted to a final invoice?

2. If possible add an action to convert to invoice directly, when status is quotation or proforma

We’re considering purchasing Ultimate POS and have a key inventory concern.

How can we manage inventory when selling the same product in different pack sizes (e.g. individual unit, 6-pack, box of 12, box of 24)?

We purchase single units (e.g. 350ml beer cans) and want to sell them in various pack sizes, but keep stock centralized on the individual unit.

We tried the demo with “Combo Products”, but it didn’t validate stock during sales — it allowed us to sell more units than we had.

Product Variations require separate stock for each variation, which isn’t practical for us either.

Is there a way to assign different SKUs to pack sizes that all draw from the same stock and have proper stock validation when selling?

We’d love to buy Ultimate POS but need to be sure it can handle this case correctly.

There are many ways to do it. The better way is to use the Manufacturing unit.

With this, you can create 6-pack, box of 12, box of 24 etc based on your need, and also set different pricing for them.

I’m very interested in your POS system. I noticed that you offer a Flutter-based mobile version as an add-on. I’d like to know if it’s compatible with Bluetooth barcode scanners. Specifically:

  • Can the mobile app recognize input from a Bluetooth barcode scanner when scanning into the search bar?
  • Does scanning a barcode automatically add the item to the cart, similar to how it works on the web version?

I’m asking because relying solely on the mobile camera for barcode scanning may not be the most reliable method. It’s important for me that the mobile app supports external barcode scanners (such as barcode guns or dedicated scanning devices).

Have you implemented any specific technology or integration to support this functionality in the mobile app?

2. Booking is for any general booking of service or appointment etc.

3. You’ll simply enable/disable the features that you need, for example, like in Pharmacy, you can enable option to enter product Expiry, Lot number, manufacturing date etc based on what you need for your shop.

We kindly request you to look into multiple variants creation prolem. I know there is a workaround through attribute naming in your documentation.But I see it is not practical for a business with a large amount of variations. Even though this POS has most advanced fetaures that others lack. This missing part is really giving a tough time handling products.

You can see almost every good POS systems in codecanyon or outside, they provide a feature select attributes we need and a button below to generate variations for that product which automatically creates variations combining the given attributes.

I know surely your team is working hard to increase the performance of feature of this system. As a client my self I am really happy if you could prioritize this feature as this is a long awaiting feature for years from your clients as I can see from the comments section.

I have a pre-sale inquiry. I recently saw this POS system in use at a friend’s business and I’m interested in purchasing it for my bar and restaurant. However, I have a few clarifications I’d like to make before proceeding:

1. Support for Multiple Printers (e.g., Kitchen Orders) In most restaurant setups, the kitchen is treated as a separate station with its own printer. I’d like to know how this POS handles multiple printers. For example, when an order is placed that includes kitchen items, the system should automatically print a Kitchen Order Ticket (KOT) to the kitchen printer. Does your POS support this kind of setup?

2. Stock Deduction from Manufacturing Module In our setup, some menu items are linked to recipes defined in the manufacturing module. When a waiter places an order that includes such an item, I expect the system to automatically deduct the required ingredients from stock at the time the sale is finalized. Also, if the item is voided or deleted, the stock should be restored automatically—just as it is for regular inventory items. Currently, it seems the chef must manually trigger production for stock deduction to happen, which adds unnecessary work. Can this process be automated?

3. Sales Time Management for 24-Hour Operations Many bars and restaurants operate 24/7, and we manage our sales based on register closing times rather than calendar days. For example, if a register is closed at 8:00 AM, all sales up to that time should be grouped together, and new sales after 8:00 AM should start a new cycle. However, it seems that your POS resets sales at midnight, which causes confusion in reports by splitting one business day into two. Is there a way to configure the system so that reports and sales tracking are based on register closing time rather than the calendar day?

4. X and Z Reports + Staff Sales Summary at Register Close We would like the system to generate X and Z reports at the end of each shift or register close. Additionally, it would be very helpful if the system could generate a detailed report per user or service staff—showing items sold, quantities, and total amounts for that particular shift. For instance, if I want to know how many pieces of chicken a specific waiter sold during a shift, I should be able to view a report with this breakdown.

Everything else is working awesomely, with only this few changes this will be one of the best POS system so far. Even now it has stood out.

You should work on discount because all famous franchises have below discount structure.

Store and Bank Discount Process 1. Contract Between Stores/Restaurants and Banks o Some stores or restaurants have agreements with banks to offer discounts to customers who use specific bank cards. o The discount rates vary depending on the card type. For example:  Visa Gold Card: 10% discount  Visa Platinum Card: 15% discount  Master Platinum Card: (Specify discount percentage)

2. Discount Distribution o The total discount is shared between the store/restaurant and the bank:  Store/Restaurant Contribution: 5%  Bank Contribution: 10% o Together, they offer a total discount of 15% to the customer.

3. Cap Limit on Discounts o A maximum cap is applied per invoice, ensuring that the discount does not exceed a set limit. o For example, if the cap is $2,000, the store/restaurant cannot provide a discount exceeding this amount on a single transaction. Even bill is $100000

4. Card BIN Number Storage in POS o The POS system requires the first 6 digits (BIN number) of all cards to classify them. o Each card type is saved with its corresponding category, such as:  Visa Gold Credit  Visa Platinum Debit  MasterCard Platinum, etc.

5. Sale Transaction Process o During checkout, the cashier selects the card payment option. o The cashier enters the first 6 digits (BIN) of the card. o The system then displays the applicable discount breakdown:  Bank Discount: 10%  Store Discount: 5%  Total Discount: 15%

Hi, I’m using Ultimate POS and would like to raise a concern regarding unit pricing and price groups.

Unit Pricing Issue: When I create a product with a base unit like 1 pcs = 20, and then define a sub-unit such as 1 case = 12 pcs, the system automatically calculates the case price as 12 × 20 = 240. In reality, we often sell cases at a different or discounted rate, for example, 1 case = 200. Unfortunately, the system doesn’t allow setting a separate price for the sub-unit. We need the flexibility to define custom prices per unit type.

Price Group Limitation: I understand there is a “Price Group” feature for retail and wholesale pricing. However, in our case, we sometimes need to sell both retail and wholesale items in the same invoice (e.g., 5 pcs at retail price and 1 case at wholesale price). The current system doesn’t support this mixed pricing within a single transaction, as we have to choose only one price group per invoice.

This creates a challenge for businesses that operate both retail and wholesale models simultaneously.

Kindly consider enhancing these features to support:

Manual pricing for each unit/sub-unit.

Mixed price group support within the same invoice.

These improvements would make Ultimate POS much more powerful and practical for hybrid business operations.

I am experiencing critical performance issues with our application due to an unexpected database growth. Upon investigation, I discovered that our transaction_sell_lines_purchase_lines table has inexplicably grown to 214 million rows, when it contained only approximately 400 rows just yesterday.

This exponential growth appears to be directly responsible for the application’s repeated downtime. I have attached a screenshot for reference (https://ibb.co/qYDMdfYB).

Could you please advise on the safest and most efficient method to truncate or clean up this table to restore normal application functionality?

However, our application is currently down and completely unusable due to this massive and unexpected table growth issue. The `transaction_sell_lines_purchase_lines` table has reached over 214 million rows, causing repeated downtime and blocking all operations for our users and staff.

I kindly request an urgent temporary solution to immediately stop this data explosion and help us restore minimum functionality, even if it’s just a workaround or a manual cleanup method. This will give us some breathing room while we handle the support renewal process.
