Hi there, I have been using multiple bookly plugins on https://rapidpass.co.uk/ and they work perfectly. Recently I bought the waiting list plugin. I am having the following issues: It is not showing all blocks for the waiting list. I am using Google Calendars for two-way sync. I want it to show all blocks for the waiting list even if they are blocked in Google Calendar for the other things. Can it work that way?

The waiting list can only work with appointments that are created in Bookly. If the time is blocked in Google Calendar, the waiting list will not work for that scenario.

I have an issue with the waiting list and the SMS Service (reminders). Each time someone is on the Waiting list he get’s a reminder about the apointement the day before (like the booked and confirmd clients). Even if he’s still on the Waiting list and does not have any confirmed appointemnet on the next day… Any help about how to fix this issue?

I have added the waiting list plug in to my bookly system on workpress but am unable to get it working. If a day is full it is still showing no options to join a waiting list. On the calendar it says choose a time with (N) to join a waiting list but still no time slots appear. Could you advise how to get this working? Any help would be appreciated. Thanks

I’ve just purchased Bookly Waiting List Addon.
I have an issue with the email notifications.
When a customer books in for a waiting list spot for a service, they are sent the ‘Notification to customer about placing on waiting list’ email (which is expected), but they are also sent the ‘Notification to customer about approved appointment’ email (even though their status in the appointment is ‘On waiting list’ and NOT ‘Approved’.)
The ‘Notification to customer about approved appointment’ email should not be sent until their status becomes Approved.
Could you please provide some guidance for getting only the waiting list email sent and NOT the approved appointment email when booking a waiting list spot.

Can the text shown to the user who is signing up for the waiting list be customized? After choosing the day and time, a text is shown that implies that you are making a real reservation. That can completely confuse the customer.

We just got 6 Bookly Add-ons today. Start with this Bookly Waiting List (Add-on).
The add-on doesn’t work. I’m confused that the waiting list plugin doesn’t work like a waiting list plugin. The whole idea is to automate things, not add more manual work. I can’t understand why it wouldn’t automatically allocate a cancelled booking slot to the next person on the waiting list and let them know. Do we have to add manually go in every time someone cancels a slot and allocate the slot ourselves to someone on the waiting list?
If so, isn’t this the same as not having a waiting list plugin, as people could message to request a cancellation slot instead & it’s essentially the same amount of work to reallocate a slot.
We could have more than ten people cancel manually and allocate every cancelled slot to someone else via the backend ourselves.
I want a refund on all 6 Add-ons. Thanks.

You can set the ‘Notification to customer to set appointment from waiting list’ and it will be sent to all customers in the appointment waitlist when a desirable timeslot becomes available for booking. The {appointment_booking_url} code will render a link for appointment approval. As I said, the Bookly Waiting List (Add-on) is not working.
See four notification emails for the waiting list.
1. Notification to the customer about placing on the waiting list (This email is working).
2. Notification to a staff member about placing on the waiting list (This email is working)
3. Notification to a staff member to set an appointment from the waiting list (This email is working)
4. Notification to the customer to set an appointment from the waiting list (NOT WORKING AND NOT RECEIVING)
Also, when I use email 3 to set the appointment automatically marks the customer as paid.

Hi, I can’t seems to figure out about the waiting list link. There no link in the code. All I see the code waiting list url. That doesn’t work. It’s not click able when I sent to the people letting them know the spot is available now.
I added to the email notification waiting list_url. But no luck. Please help me out. It would be better if your team put videos about all the setup. It will reduce a good time from replying to people. If I had video that show all the setup I wouldn’t be text here. I hope you got the point. Maybe there is video you put it . I can’t seems find it. And not enough information to setup properly.

I have group booking, and once it’s filled, the time slot isn’t showing on the front-end for customers to join the waiting list. I did check the box in Appearance time slots saying ‘show waiting list slots’, but that time slot isn’t at all visible to join the waiting list once it’s filled. How can I solve this issue?

If you have both Bookly Group Booking (Add-on) and Bookly Waiting List (Add-on) installed and activated, in Settings > Waiting List, you can decide how your customers will be placed on the waiting list. If enabled and there is someone on the waiting list, all other customers who try to book the selected time slot will be waitlisted, even when the service capacity value allows more persons to book an appointment. If disabled, free places will be available for booking on the front-end as long as the number of persons matches the remaining places in appointment.

Other (competing booking software) automates the wait-list by sending an notification to the first customer that joined the wait-list may I ask if this has already been set and if not when it will be implemented since this isn’t much of a requested feature but more so an expected/missing feature for the waiting list.
If that customer responds to confirm their booking within a specified time (say 1 hour), then the available slot is filled. If the customer doesn’t respond within an hour, then the next customer on the wait-list is sent a notification… and so on. So the customers are motivated to join a wait-list as soon as possible, because it increased their chances of getting into a full class (if someone cancels). Which is a much more organized and professional way of presenting this. Otherwise small holes sink ships.
I got the waiting list plug in but even though i have checked the ‘show waiting list slots’ under Appearance/Time it doesn’t show up on my page where I have the appointment selector. I also can’t seem to add someone as being on the waiting list when I click on the appointment in the calendar on my end. Can you please help, Also there is no (N) beside the time slot? I see there are two people on the waiting list for 11:00 but where do I check which one to select? Thanks
Your team explained that: The idea behind the add-on is that when a time slot opens, a notification is sent to the service provider with the list of customers in line. When the service provider clicks the relevant link next to client’s name to approve an appointment, the customer’s status will be changed from ‘on waiting list’ to ‘approved’. which raises my question as to when the deposit of $20 for the approved meeting will take place. If they pay the deposit to be on the wait list then that will result to a-lot of refunds, if there is a way to transfer a pending person on a waiting list to a new slot that might ease the problem with refunds providing the time works for both the provider and customer .. but at the same time I don’t see any way to reassign the time for a person on the waiting list to a later time on the backend with out manually doing it which is a huge inconvenience to the provider having to copy paste and back n fourth looking at schedules from a phone. and so if the $20 deposit for service is not collected at the time of clicking the waitlist upon approval of the provider how do they collect the deposit when the customer is just now aware of the fact that they have been awarded the slot. We can’t loose money with free people on the waiting list knowing there are paying clients willing to pay for those slots without a waiting list?
please enable the option for the customer to pay to be on the booking wait list.. so they can still be reassigned to a later date .. the main goal is to collect the deposit at-least..
also please set it to default award the first person on the list .. its only right.

For the first workflow, you could set the default status to be pending and then approve or reject appointments, depending if the customer responds or not (which will open the time slots for new customers).
You should see the time slots that are already booked and available to join the waiting list with the (N), where N is a number of customers on the waiting list. In the back-end, customers can be added to the waiting list, by opening an appointment, adding a customer, clicking on the customer’s name and choosing the waiting status. When you open a appointment you should find all customers, that have either the approved or waiting status.
If the staff member reassigns a customer from the waiting list to booked appointment, then no payment will take place, as customers that are added to the waiting list don’t make any payment. They will need to pay later locally.

I appreciate your reply but this doesent Address, resolve nor suffice the nature of the questions asked nor does it acknowledge that there is a huge hole in the booking waitlist process making this addon very difficult to use as stated by many paid users before me im just now seeing these issues after purchase.
You suggest the waiting list when in reality that will take years to Talley up. Mr. Alex you and I already have a conversation about the api calls being blocked implementation that I’ve clearly explained and sited examples from your request that have been abandoned in the inbox so the request a feature part is very discouraging.
1. The waitlist shouldn’t be excluded to local payments only because these are realistic businesses we are running in real time to get paid for booking. Having to manually award someone on a waiting list who isent guaranteed to show up without a payment/deposit defeats the purpose. It wasent stated in the product description that waiting list kills the collection of funds thus making the process fruitless.
Meet us half way with some of this stuff. Your core bookly subscribers that have spent $1000 on your plugins and addons would appreciate the convenience humbly speaking.

I’m afraid that these features were never advertised and procedure regarding new features is to create these requests. You can check the roadmap, for planned and already implemented stuff. If this solution is not viable for you can always customize your plugin with a third party or open a refund request.

Hi Bookly support team. We activated the Tasks addon, and our staff members can’t see their tasks on the staff cabinet frontend (addon).... So they don’t know about their tasks and they can’t do anyhting with….
Only the administrator can see the tasks, but this is not good, as taks are for our staff members and they can’t access to admin panel (normal, for a security question)... We can’t manage, as admin, all tasks that are sheduled for our staff members (imagine if we have like 100 staff members… it will be just impossible).
So seems like the dev team forgot something very important with that addon : give the ability to staff members (each ones) to see their tasks on their frontend page, to manage them, as they can do with appointments).
So could you please fix that ? As add-ons need to “works” with others addons of Bookly we already bought ?

We’ll look into it, the only option that I could advise now to is to use a Bookly Supervisor account (or a couple) that will have access to all appointments and tasks, to handle the booked tasks.

Thanks for your feedback, but this will not change anything on the process. To have a “supervisor” it the same as an “administrator”. So just one person, and only one, can do something with tasks, that are affected to staff members… Staff members need to see their tasks on the front endto properly manage them, as they are tasks for them. The administrator (or supervisor) can’t manage tasks instead of staff members, as the supervisor don’t know what staff members want to do with their own tasks.
At the moment this option is not available for staff members. You can leave your request here: https://ideas.booking-wp-plugin.com/boards/feature-requests and if it gets enough votes, it might be implemented in the future release.

Thanks for your answer. We trully believe that this is not really a “featuring request” but a missing part of the addon. Addons need to work with others parts of the plugin, already. If we give ability to staff members to have “tasks” booking (the main purpose of this addon), they of course need to manage them by themself. They will not “ask to the admin” each time they receive a task request to just change it to “done status” or more, to convert it into appointment (as the addon can do). Staff members need to manage their own appointments / tasks / datas, or there is a “non sense” here… So could you please check with your dev team to add the “tasks” into the frontend (cabinet addon), in order to have a normal process for their administration of all bookings (appointments as taks) ? Just need to add a “filter” (appointments / tasks) that refer to the backend appointments page) to manage their tasks too, as same that they manage appointments.

Hi Bookly support team ! We tried to translate the words ‘approved” / “cancelled” and “waitlisted” that appears on the calendar when the add-on is activated (status for each clients that appear on the calendar) but without success….. We can’t find where to translates these status that are displayed on the calendar. So could you please tell us where we can change these texts, in order to don’t have them in english ? Ps : we are not using WPML plugin. So we need to translate them directly on files (we use only one language). Thanks !

We already tried (we have loco) but it is not working. There is no “translation” available for the addon (empty on Loco), and on the Bookly core, there is nothing too regarding these status. If we want to change these “words” directly on the plugin, where we can change it ? (as we only use one langage for the whole website)
I’ve tried to do it now and it worked.
Access the translation plugin -> Plugins -> Bookly -> for the English language click on the Edit button -> you will see a field that works like a search (that’s named filter translations) -> look for Approved and then Cancelled and add the desired change in the lower box and save.
